We do not knowingly collect special category data such as health information. If you tell us about accessibility needs (for example, wheelchair access) so we can send a suitable vehicle, we use it only for your journey.
3. How we use your data and why we are allowed to
UK data protection law requires a lawful basis for each use of your data. Ours are below.
| What we use it for | Lawful basis |
|---|---|
| Taking your booking, sending confirmations, assigning a driver, carrying out the journey, tracking your flight for pickup times | Contract: we need it to provide the service you booked |
| Taking payment, issuing receipts and invoices | Contract |
| Keeping booking records required by Transport for London and other licensing authorities | Legal obligation |
| Keeping financial records for tax and accounting | Legal obligation |
| Answering questions, handling complaints, lost property and feedback | Legitimate interests: being responsive to customers |
| Preventing fraud, unpaid fares and abuse of our drivers, and keeping our systems secure | Legitimate interests: protecting our business, drivers and customers |
| Understanding how our Websites are used so we can improve them (Google Analytics) | Consent: only if you accept analytics cookies |
| If we send offers and news by email or text | Consent, or for existing customers, the “soft opt-in” for similar services. You can unsubscribe at any time |
| Arranging a suitable vehicle for an accessibility need you tell us about | Your explicit consent, given when you share the information |
Where we rely on legitimate interests, we have weighed them against your rights. You can object at any time (see section 9).
We do not sell your data, and we do not make decisions about you based solely on automated processing.
4. Who we share your data with
We share your data only with the people and companies who help us run the service, and only what each one needs.
| Recipient | What they do | What they receive |
|---|---|---|
| iCabbi | Our booking and dispatch platform: stores bookings and sends jobs to drivers | Contact, journey, trip and booking-history details |
| Our drivers | Licensed private hire drivers who carry out your journey | Your name, phone number, pickup and drop-off details, flight number and notes |
| Stripe | Processes card payments securely | Card and billing details you enter on the payment form |
| Google (Analytics) | Website statistics | Website usage data, only if you accept analytics cookies |
| Google (Maps) | Address search and route calculation on our booking form | The addresses you type and your IP address |
| WhatsApp (Meta) | Lets you message us on WhatsApp if you choose to | Your phone number and the messages you send |
| IONOS | Hosts our Websites and email | Data submitted through the Websites and emails you send us |
| Professional advisers | Accountants, insurers and legal advisers | Only what is needed for their work |
These suppliers act on our instructions and are bound by contracts that protect your data. Google, Stripe and Meta also have their own privacy policies for data they handle as independent controllers.
We will also share data:
- with Transport for London, the police or other authorities when the law requires it, or to prevent or detect crime;
- with your employer, if you travel on a corporate account (journey details and costs only);
- with a buyer, if we sell all or part of our business, under the same protections as this policy.
5. Data stored outside the UK
Some of our suppliers store or process data outside the UK, in the European Economic Area (for example iCabbi, Stripe and Meta in Ireland) or in the United States (for example Google).
We allow this only where the data stays protected to UK standards, through one of the following:
- the country is approved by the UK government as having adequate protection (this includes the EEA, and US companies certified under the UK Extension to the EU-US Data Privacy Framework);
- the supplier has signed the UK International Data Transfer Agreement or Addendum, or similar safeguards.
You can ask us for more detail about the safeguards for a particular supplier.
6. Cookies
We use a small number of cookies. Analytics cookies are set only if you click “Accept” on our cookie banner.
Cookies are small files saved on your device by a website. We use them as follows:
| Cookie type | Purpose | Examples | Needs your consent? |
|---|---|---|---|
| Strictly necessary | Make the site work: remember your cookie choice, keep the booking form working, protect against spam and attacks, take payment securely | Cookie-choice cookie (da_consent); Stripe security cookies on the payment step | No |
| Analytics | Count visits and see which pages are used, so we can improve the site. Reports are statistical and do not identify you | Google Analytics (_ga, _ga_*) | Yes |
| Third-party features | Loaded only when you use them | Google Maps on the booking form | Covered by Google’s own policy |
We do not use advertising or tracking cookies that follow you across other websites.
Changing your choice: click “Cookie settings” at the bottom of any page to accept or reject analytics cookies at any time. You can also block or delete cookies in your browser settings; the site will still work, but some features may be slower.
7. How long we keep your data
We keep data only as long as we need it, then delete it or make it anonymous.
| Data | How long |
|---|---|
| Booking and trip records, lost property and complaints | 2 years (Transport for London requires at least 12 months) |
| Emails, WhatsApp and contact-form messages | 2 years |
| App account details | While your account is open, then 2 years after your last booking |
| Payment, invoice and accounting records | 6 years from the end of the financial year they relate to, as required by tax law |
| Marketing preferences (if we send marketing) | Until you unsubscribe, plus a suppression record so we don’t contact you again |
| Website analytics data | 14 months (Google Analytics setting) |
We may keep data longer if we need it for a legal claim or a regulatory investigation.
8. Keeping your data secure
We use technical and organisational measures to protect your data from loss, misuse and unauthorised access.
These include encrypted (HTTPS) connections on our Websites, card payments handled entirely by Stripe so we never store full card numbers, access to booking systems limited to staff and drivers who need it, firewall and malware protection on our Websites, and regular software updates.
No system is completely secure. If a breach puts your rights at risk, we will tell you and the ICO as the law requires.
Our Websites may link to other sites, such as airport or social media pages. Those sites have their own privacy policies, and we are not responsible for them.
9. Your rights
You can ask us at any time to see, correct or delete your data, and we will reply within one month.
Under UK data protection law you have the right to:
- Access a copy of the personal data we hold about you
- Correct data that is wrong or incomplete
- Delete your data, where we no longer need to keep it
- Restrict how we use your data while a concern is looked into
- Object to us using your data based on our legitimate interests, or for marketing
- Data portability: receive data you gave us in a common digital format
- Withdraw consent at any time, for example to analytics cookies or marketing, without affecting anything done before
Some rights have limits. For example, we must keep booking records that Transport for London requires, even if you ask us to delete them. Requests are free, and we may ask you to confirm your identity first.
Marketing: every marketing email or text includes an unsubscribe link or instruction. You can also email us to stop.
Complaints: please contact us first at info@clockcars.co.uk so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes to this policy: we will post any changes on this page and update the date at the top. If a change significantly affects you, we will tell you directly.
